EUMASS
How did EUMASS automate attendance tracking and certification at a regulated conference while giving organizers complete control over participant data?
By combining the EventID platform with automated attendee identification and tracking, EUMASS was able to digitalize the management of a regulated professional conference from registration to attendance verification. Instead of relying on manual attendance lists and repeated badge checks, participant movements could be recorded digitally, creating a reliable basis for verifying attendance and issuing the appropriate certificates.
From manual attendance records to automated conference management
EUMASS, the European Union of Medicine in Assurance and Social Security, brings together professionals working in social security medicine and related fields. Its conferences combine knowledge exchange with professional education, making reliable attendance records an important part of the event.
For regulated professional events, registration alone is not enough. Organizers need to know who actually attended and have reliable records that can support professional education and certification.
EUMASS turned to Smart Octopus Solutions and the IDConference platform to digitalize participant management and create a more reliable connection between registration, attendance and post-event reporting.
The business challenge
At conferences where attendance contributes to continuing education or certification, organizers need to verify more than who registered. They need accurate information about who attended and whether participation met the relevant requirements.
Managing this manually becomes increasingly difficult as participants move between rooms and sessions throughout the event. Paper attendance lists and manual badge checks also leave room for missing or incorrect records, while requiring staff to spend additional time collecting and reconciling the data.
EUMASS therefore needed a digital process that could identify participants, record attendance and provide reliable data for post-event administration without adding unnecessary complexity for attendees.
The solution: Digital registration and automated attendance tracking
The EUMASS conference was managed using the IDConference platform, connecting participant registration and event data in one digital environment. Participants registered online, creating a centralized database that could then be used to prepare personalized badges and manage attendance on site. Depending on the event requirements, badges can use barcodes, QR codes or RFID technology for participant identification and access control.
During the conference, participant attendance could be recorded digitally and connected directly to the existing registration data. This created a continuous flow of information from registration through the physical event to post-event reporting. Instead of reconstructing attendance records manually, organizers could work with structured participation data that could be used to verify attendance and support certificate issuance.
For participants, the goal is to make the technology as invisible as possible.
After completing the registration process, attendees receive their personalized conference badge and can focus on the actual event rather than repeatedly providing information to organizers.
Identification can take place through the technology integrated into the event infrastructure, allowing attendance to be recorded without requiring participants to stop at every session and complete a separate manual check.
This is particularly important at professional conferences, where participants may move between different lectures, discussions, and meeting areas throughout the day.
Instead of turning attendance verification into another administrative task for the participant, the system records the relevant information in the background.
The result is a smoother conference experience for attendees and a much more reliable attendance record for the organizer.
For EUMASS, the implementation created a centralized digital source of information covering the participant journey from registration through attendance and post-event reporting.
Organizers can manage participant information through the EventID platform and use the collected data to understand what happened during the conference. This makes it easier to verify attendance and prepare the documentation required after the event.
The system also reduces the amount of manual administration required from the conference team. Instead of maintaining separate registration lists, attendance records, and post-event documentation, information can flow through a connected digital process.
This improves data consistency and reduces the risk of errors caused by manually transferring information between different systems.
For a regulated professional event, this is particularly valuable because the quality of attendance records directly affects the organizer’s ability to provide reliable proof of participation.
- Automated attendance verification: Participant attendance can be recorded digitally, reducing the need for manual attendance lists and repeated checks.
- Connected registration and event data: Participant information collected before the conference remains connected to what happens on site.
- Reliable certification records: Structured attendance data provides a stronger foundation for verifying participation and issuing certificates.
- Reduced administrative work: Organizers spend less time manually recording, transferring, and reconciling attendance information.
- Better participant experience: Attendees can move through the conference without repeatedly stopping to prove their attendance.
- Real-time event visibility: Organizers can use digital event data to maintain a clearer overview of participant activity during the conference.
Results & long-term value
The EUMASS project shows how digital attendee management can simplify event administration when accurate attendance records are essential for professional education and certification.
By connecting registration, participant identification, attendance tracking and reporting, EUMASS gained a more reliable way to manage participation data throughout the conference. Instead of relying on separate manual records, organizers could work with structured information linked directly to participant profiles.
For attendees, the process remained simple, allowing them to focus on the conference rather than administrative procedures. For organizers, the same system provided a stronger foundation for attendance verification, reporting and certificate issuance.
The project also created a foundation for further event digitalization, with IDConference providing a connected infrastructure that can be expanded with additional communication, automation and analytics capabilities as needs evolve.
