The Football Coaches Association of Slovenia
How did the Football Coaches Association of Slovenia ensure that coaches actually attended training events and received the right points for license renewal?
By replacing unreliable attendance records with a digital attendance tracking process, the Football Coaches Association of Slovenia (ZNTS) gained a reliable way to verify which coaches physically attended professional education events. What started as an RFID-based solution developed for the Kranj Football Coaches Association was later expanded into a digital event attendance system for the entire national association, connecting event registration, check-in, attendance reporting, and professional development points.
From registered attendance to verified participation
The Football Coaches Association of Slovenia (ZNTS) supports the professional development of football coaches through educational events and training. Coaches earn professional development points through these activities, which are required for maintaining and renewing their coaching licenses.
This makes accurate attendance tracking particularly important. ZNTS needs to verify that coaches who receive points have actually participated in the events.
The challenge was first addressed at the local level, when members of the Kranj Football Coaches Association approached Smart Octopus Solutions. An RFID-based solution was developed and later used as the foundation for a digital attendance tracking process for the entire ZNTS.
The business challenge
Registration alone does not prove that a coach attended an event. Traditional attendance lists can also be time-consuming to manage and leave room for missing or inaccurate records.
For ZNTS, this is particularly important because attendance directly affects the allocation of professional development points and, ultimately, license renewal. The association therefore needed a reliable way to verify participation and turn attendance data into accurate reports.
The key requirement was simple: to know which coaches actually attended an event and should therefore receive the corresponding points.
However, managing over 2,500 attendees moving simultaneously between multiple halls creates a massive logistical bottleneck. Manual badge scanning at doors causes severe overcrowding. Without automation, organizers cannot reliably verify when an attendee entered, how long they stayed, or whether they genuinely qualify for their CEUs—leading to potential disputes over identity verification and certificate issuance.
The solution: Digital attendance tracking and verification
The initial solution developed with the Kranj Football Coaches Association used personalized RFID cards. Coaches could use the same card across multiple events, with the card scanned on arrival and departure to record their attendance and entry and exit times. Following this implementation, the approach was adapted for the entire Football Coaches Association of Slovenia and further simplified through digital event tickets.
Coaches now receive their event tickets by email. At the event, the ticket is scanned using a specialized application, which verifies the registration and records attendance. After the event, the collected data is used to generate an attendance report showing which coaches actually participated. The report provides the basis for allocating the professional development points required for license renewal.
For coaches, the process is designed to be simple and familiar.
Instead of filling out paper attendance lists or relying on organizers to manually record their presence, coaches receive their event ticket digitally by email before the event.
When they arrive, they simply present the ticket for scanning. The system verifies their registration and records their attendance without requiring additional administrative steps.
The technology therefore removes friction rather than adding it.
Coaches can focus on the educational content and professional development of the event, while the system takes care of the administrative evidence required afterwards.
For the association, however, the difference is significant. The digital record provides a much more reliable basis for determining who attended and which coaches are eligible to receive professional development points.
For the Football Coaches Association of Slovenia, the solution created a standardized digital process for managing attendance at professional education events.
Instead of manually comparing registration lists with attendance records, the association can use verified digital attendance data to generate reports after each event. This significantly reduces the time and effort required to monitor participation and process attendance information. It also improves the integrity of the system because points are based on actual attendance rather than simply on event registration.
The association gains a clearer overview of participation and can use the resulting data to support the administration of professional development and license renewal. The system also creates a consistent process that can be used across different events, providing a scalable foundation for managing coach education at the national level.
- Verified physical attendance: Digital check-in provides reliable evidence that coaches actually attended the event before professional development points are awarded.
- Automated attendance reporting: Attendance data is collected digitally and transformed into reports listing participating coaches after each event.
- Simplified license renewal: Verified participation data provides a clear basis for allocating points required for coaching license renewal.
- Reduced administrative work: Digital registration and attendance tracking eliminate much of the manual work involved in recording and reconciling attendance.
- Scalable across events: The solution developed initially for the Kranj Football Coaches Association was adapted for the entire national association and can be used across multiple educational events.
Results & long-term value
The partnership with the Football Coaches Association of Slovenia shows how a targeted technology solution can address a broader administrative and compliance challenge.
What started with an RFID-based solution for the Kranj Football Coaches Association was developed into a standardized digital attendance process for the entire ZNTS. Digital tickets, application-based check-in and automated reporting now provide a clear connection between event participation and professional development points.
For ZNTS, this means less manual administration, more reliable attendance data and a more transparent process for allocating points and supporting license renewal. For coaches, participation is recorded through a simple digital check-in rather than manual attendance lists.
The project also demonstrates how a solution developed around a specific operational need can be expanded into a wider process, creating a stronger digital foundation for managing professional education and licensing requirements.
